The Executive assistant's responsibilities include recording and distributing minute of meetings, filling reports and other administrative documents, scheduling meetings, ensure all meetings run on time, organizing, and prioritizing the Owner's emails, travel arrangements, assists with planning company functions, etc.
To be successful in this position, the ideal candidate should demonstrate and be consistent in strong organizational skills coupled with a high degree of flexibility.
Strong interpersonal skills, excellent oral and written communications, great and timely attendance.
Work well with others, warm and personable with patience and good sense of humor.
Highly professional with a great understanding of strong ethical standards, ability to manage confidential situations with extreme discretion, respect, and sensitivity.
Have at least3 years of experience as an Executive Assistant, attention to detail, proficient with Word, Excel, and Outlook.
Have excellent time management skills; creative and strong problem-solving skills, and the ability to multitask and manage multiple projects at one time.
Ultimately, an exceptional Executive Assistant will ensure that the Executives time is maximized by effectively managing their schedules and providing all administrative support necessary.
Provide administrative support to the owners.
Act as meeting recorder, summarizing action items.
Conduct misc.
research for owners.
Compose letters, memos, emails, and reports.
Review and organize emails by priority for the owners.
Assists with special projects and initiatives as required.
Serve as internal communication liaison as well as gatekeeper.
Provide administrative and other support for the owners as needed.
Performs diversified and confidential administrative duties requiring comprehensive skill and knowledge of organization policies and procedures.
Setup meetings according to the desired format i.
e.
, in person, phone or virtual.
Assist with VIP restaurant and travel reservations.
Maintain all owner's passwords and login information.
Schedule and maintain all owner's calendar items.
Assists with charity and company functions.
Errands as needed.
Some personal event planning.
Assists another Executive Assistants as needed.
Must submit resume.
Pay will BOE and will be discussed during the interview.
Estimated Salary: $20 to $28 per hour based on qualifications.
