The Office Manager is responsible for ensuring that the Service Experience is consistently provided for all patients, quality office operations are maintained, employees are led and empowered in a positive manner, and financial contribution is maximized.
This job requires customary and regular exercise of independent judgment and discretionary powers in the day-to-day performance of job duties, such as overseeing employees and communicating with the Doctors, and ensuring that Office policies are implemented and maintained in a consistent manner.
The Office Manager is a liaison between Dr.
's and patient's; Dr.
's and employees; Dr.
's and outside vendors when necessary.

Responsibilities:
Supervise activities of front office and staff Provides and implements any changes in front office department Oversee supplies and budgets for front office Coordinates agenda for team meetings Keep front office manuals updated Lead the front office in a manner that promotes teamwork, cooperation, and understanding Schedule routine meetings with doctors, office coordinator, and/ or team to review progress, new ideas, and issues of the practice Manages patient flow and coordinates with back office coordinator to ensure a smooth flow of patients throughout the day Staff Management:
Recruit and interview potential new front office staff members.
Make recommendations to the doctor for hiring, corrective action, and terminations for front office team members Proactively and constructively, resolve personnel issues within the front office team with the involvement of staff and the doctors as necessary Maintain and help enforce personnel policies for front office staff Assist the doctor with front office staff performance reviews Assist in defining job descriptions with the input and assistance of the staff and doctors Assign non-patient job duties Participate in and share any discussions with the patients regarding compliments and complaints Coordinate front office work schedule and responsibilities when doctor(s) are out of the office.
Suggest incentives to promote teamwork and constant practice growth Orient new employees Work closely with the office coordinator, administrative team and doctors to ensure overall practice is cohesive, efficient, and effective, delivering the highest level of patient quality care Work closely with the clinical flow coordinator to ensure that patient's treatment is progressing on time.
Coordinate administrative and clinical meetings to ensure a cohesive relationship between all areas of the practice.

Education and Training of Staff:
Provide educational opportunities through literature review and seminars Structure educational plans for self and staff to maintain the highest level of expertise in front office functions.
Train new front office staff Promote open communication and feedback from staff regarding new suggestions, information learned, and problem resolutions Organize training sessions for new staff.
Set schedule for cross-training sessions for existing staff.
