# Job Description:
Position Summary:
Person in this position will oversee duties in the Administrative Services Department. This will include monitoring leases, phone lines, front desk and administrative assistant positions.
Essential Job Functions:
Provides full and continuing support to the Sr. Vice President of Operations to successfully manage and make efficient use of WestCare's real properties and vehicular fleet wherever located.
Manages and maintains all telephone, wireless or wired, copier-printer maintenance and other related contracts for WestCare.
Develops job requirements, hires, and reviews and manages personnel assigned to the Administrative Services Department, including termination activities if needed.
Through the Administrative Services Department staff, provides general administrative support to Foundation Staff, including the Sr. VP/General Counsel, Board of Director Members, Community Council Members, visiting WestCare staff and others as needed.
In response to IT Department requirements, orders monitors, laptops, desktops, printers, processes and delivers all required IT equipment, software and hardware per WestCare Policies and Procedures.
Job Functions
Manage building keys and alarm codes for the Foundation Office.
Ensure the entire vehicular fleet are registered and insured with insurance verification. Act as liaison for property and auto claims with insurance carriers and provide updates as needed. Assist with obtaining any & all information for claims to get them resolved in a timely manner. In addition to driving a company vehicle per business needs.
Monitor internet and telephone; both wired and wireless, keeping an updated inventory to ensure we have services that are needed with no duplication, submitting tickets when needed. Reconcile the large AT&T; Mobility and Verizon Wireless billings each month providing a journal entry to Accounting.
Maintain property files and leases to include an updated property schedule of all sites. Process open and close site checklists as needed. Ensure we have adequate insurance for buildings & contents. Negotiate leases when needed.
Obtain Certificates of Insurance as needed.
Manage WEX fuel cards and employee fuel PINS. Reconcile monthly statements and provide the journal entry to Accounting. Obtain new fuel cards as needed and monitor for fraud.
Oversee National Ops and other subcommittee meetings, posting minutes to the Intranet. Ensure all meeting notices go out and all meetings are recorded.
Oversee front desk operations to include volunteers.
Order stationery and business cards as needed.
Manage Administrative National Contracts to include Staples and RICOH. This includes reviewing every order for Staples to ensure we are getting the best value for our dollars, adding new sites and budget codes as needed.
Other duties as assigned.

Understanding of the types of programs WestCare operates.
Adherence to the highest standard of ethical conduct, especially to standards governing confidentiality.
Requires the ability to collect and analyze complex numerical and written data and verbal information to reach logical conclusions.
Requires the ability to work and cooperate with co-workers, managers, the public and employees at all levels in order to exchange ideas, information, instructions and opinions.
Requires the ability to work under time deadlines.
Education:
High School Diploma or equivalent.
Working Conditions:
Regular attendance is required.
May be required to work more than 40 hours in a week.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
